# Cloud and Embedded Device Applications for OptimiDoc Cloud

Device applications in **OptimiDoc Cloud** are manufacturer‑specific applications installed directly on multifunction printers (MFPs). They serve as the user interface for secure authentication, scanning, printing, and document workflow execution---fully integrated with the OptimiDoc Cloud data centres.

These applications transform compatible MFPs into secure, cloud‑connected workflow hubs, providing a unified user experience across different device brands (Kyocera, Fujifilm, Canon, Epson, etc.).

## Supported Manufacturers

Although we aim to deliver a consistent user experience across all brands and supported devices, certain models may still behave slightly differently.

## Cloud vs Embedded Device Applications

Based on the manufacturer's SDK, we divide the applications into two main types:

| **Cloud Device Applications** | **Embedded Device Applications** |
|----------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------|----------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------|
| Devices that use this type of technology typically display application pages generated on the data‑centre side. This approach enables rapid updates to the user interface and functionality, as any changes can be applied simply by updating the data centre. However, the possibilities for creating custom functionalities are usually more limited compared with fully embedded device applications. | Devices equipped with embedded application capabilities allow the entire application to be developed and executed locally on the device. Most of these SDKs are based on Java or Android platforms. The main difference is that each application must be installed directly on the device, and any new version requires reinstallation. However, such technologies offer far greater opportunities for customisation and on‑device processing, enabling deeper integration and more advanced functionality than server‑dependent approaches. |

# Canon - Applications Installation

## Installation Overview

Installation via Canon Content Delivery System (CDS) using the device Remote User Interface (RUI) is performed on a per-device basis and cannot be executed in bulk. This installation method is therefore suitable primarily for environments with a limited number of devices. If the Web Access Software option is not available in the device configuration, contact your local Canon representative to enable the Web Access Kit on the device.

The installation process consists of deploying two main components: the **OptimiDoc Cloud application** (print \& scan functionality) and the **Authentication application**.

It is important to install and configure these components in the correct order to ensure proper functionality.

1. First, install and configure the **OptimiDoc Cloud application** :

[Canon - ODC app Installation via CDS](https://help.optimidoc.cloud/cloud-and-embedded-device-applications-for-optimidoc-cloud/canon-embedded-application/canon-applications-installation/canon-odc-app-installation-via-cds.md)

2. Then, install and configure the **Authentication application** :

[Canon - Authentication app Installation via CDS](https://help.optimidoc.cloud/cloud-and-embedded-device-applications-for-optimidoc-cloud/canon-embedded-application/canon-applications-installation/canon-authentication-app-installation-via-cds.md)

Following this sequence is required, as the Authentication application depends on a properly configured OptimiDoc Cloud environment.

# Canon - Prerequisites

Installation via Canon Content Delivery System (CDS) using the device Remote User Interface (RUI) is performed on a per-device basis and cannot be executed in bulk. This installation method is therefore suitable primarily for environments with a limited number of devices. If the Web Access Software option is not available in the device configuration, contact your local Canon representative to enable the Web Access Kit on the device.

To successfully install the OptimiDoc Cloud embedded application, the following prerequisites must be met:

* The **latest Canon firmware** must be installed on the device.

* The device must have **connectivity** to the selected OptimiDoc Cloud data centre.

* The tenant must be **enabled** in OptimiDoc Cloud.

* It is required and recommended that the device is kept **clean**. This means that if any software was previously installed or advanced configurations were set up (such as a proxy), it is wiser to factory reset the device.

* The Web Access Software must be **enabled** on the device prior to installation. The availability of Web Access Software can be verified under: **Counter \[Key\]** \> **Device Info/Other** \> Check **Device Configuration**.

* An active internet connection is required for installation via CDS.

# Epson Cloud Application

The **Epson Terminal** is the OptimiDoc Cloud embedded application designed for Epson multifunction devices using **Epson Open Platform (EOP)**. It provides a fully cloud‑based print and capture experience with secure authentication, pull‑print, and advanced document‑workflow capabilities.

This terminal operates directly on supported Epson MFPs without any on‑premise server, making it ideal for organisations seeking a minimal‑maintenance, scalable cloud solution.

In the following sections, you will find information on:

# Features overview in detail

OptimiDoc Cloud offers a wide range of functionality within its device application.

The following overview provides a clear introduction to what the embedded application can do---and where its limitations may apply.
To check which functions or limitations a particular brand has, please use the Device Matrix available on the OptimiDoc Partner Portal.

## User interface

Each device manufacturer offers different levels of user‑interface customisation and determines where the embedded application can be installed on the device.

| **Layout** | Each device manufacturer offers different levels of user‑interface customisation and determines where the embedded application can be installed on the device. |
| **Rebranding** | The interface can be customised with a company logo and background image on the authentication screen, ensuring consistent corporate branding across devices. |
| **Localizable** | Full language‑localisation support allows the interface to adapt to the user's preferred language. |
| **Region support** | The application is available in multiple regions; however, some manufacturers may restrict OptimiDoc Cloud usage to specific areas, such as the EMEA region. |

## **Authetication**

OptimiDoc Cloud supports **two distinct authentication layers** on multifunction printers (MFPs):

1. **Device authentication**

2. **Application (embedded app) authentication**

### Device Authentication

Authentication that unlocks the MFP itself.

Ensures that **only authorised users can access the device** (copy, scan, print queue, workflows, etc.), regardless of whether they use OptimiDoc Cloud.

| **Authentication by Card** | RFID/proximity‑card login with card assignment. **Card assignment :** When an unregistered card is swiped for the first time, the device prompts the user to authenticate with their PIN. After successful verification, the card is linked to the user's OptimiDoc account and can be used for future logins. |
| **Authentication by PIN** | Login using a user‑specific numeric PIN. |
| **Authentication by Mobile App** | Login via the mobile application by selecting the device from a list or scanning a QR code. |
| **Authentication by User List** | To authenticate, the user selects their account from a populated list of users. |
|----------------------------------|----------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------------|

### **Application Authentication**

Authentication is performed **inside the OptimiDoc Cloud embedded application**.

It identifies the user for OptimiDoc Cloud services, workflows, access rights, personal storage, and pull‑print documents. The device itself remains open or may be secured separately by another authentication application.

| **Application authentication by User List** | To authenticate, the user selects their account from a populated list of users. |
| **Application authentication by PIN** | Login using a user‑specific numeric PIN. |
| **Application authentication SSO (3rd‑party)** | **SSO (Single Sign‑On) authentication in the OptimiDoc Cloud embedded application** allows the user to bypass logging in directly within OptimiDoc. Instead, OptimiDoc relies on another trusted authentication system already running on the MFP --- this may be the device's **native authentication** or any **third‑party print management application**. This method is mainly used when a customer wants to keep their existing print management solution and use OptimiDoc **only for document capture**, ensuring a seamless user experience without duplicating logins. |

## Access Rights and Accounting

The OptimiDoc Cloud device application enforces each user's access rights to ensure they can only view and perform operations permitted by their role and organisational configuration. These permissions are defined in the OptimiDoc Cloud portal, where administrators specify which document workflows, scan settings, and print capabilities are available to individual users or departments. Once a user authenticates---via card, PIN, or user list---the embedded application loads their assigned permissions and applies them immediately on the MFP.

| **Access rights** | Feature-, workflow-, and device-level access control |
| **Colour restriction** | Limits colour print/copy based on user/group |
|------------------------|------------------------------------------------------|

Accounting is performed by the OptimiDoc Cloud backend, which captures job‑related metadata, including scan and print activity, workflow usage, and release events. For print operations, the device application sends job‑release information securely to the OptimiDoc Cloud system over TLS, ensuring full traceability, accurate reporting, and compliance with organisational governance requirements.

## Printing

OptimiDoc Cloud offers a complete, flexible printing experience---combining instant direct printing, secure cloud‑based pull printing through virtual spoolers, and seamless access to personal or company cloud storages directly from the device panel---while providing full control over finishing options, print policies, and job management.

| **Direct printing** | Users can print documents immediately by sending them directly to a selected device, allowing instant release without using a pull‑print queue. |
| **Cloud Pull Printing -** **Virtual spooler print connector** | Users can securely submit documents to a protected Pull Print queue, ensuring their print jobs remain confidential until they choose to release them at any supported device. Depending on the configuration, documents can be stored in: * Datacentre * OneDrive * SharePoint * Google Drive * Dropbox * Box |
| **Finishing options** | Duplex, stapling, punching, and device-specific finishing. |
| **Printing defaults** | Enforced defaults (e.g., B/W, Duplex). |
| **Force Duplex/BW** | Print restrictions allow administrators to enforce mandatory print policies---such as **Black \& White only** or **Duplex only**---ensuring users cannot modify these settings at the device or during job submission. |
| **Job management** | View, delete, release, and modify print jobs in virtual spoolers. |
| **Print connectors -** **Cloud Storage** | Users can access their cloud storage directly from the device panel, browse folders, list available documents, and release selected files for printing without needing a workstation. |

## Document capture

The device application provides users with an advanced, user‑friendly interface for document capture. Instead of being limited to basic "scan to email" or "scan to folder" functions, users can select tailored workflows, adjust detailed scan settings, and enter required document metadata directly on the device panel---ensuring accurate processing and seamless delivery to the desired destination.

| **List Document Workflows** | The device application displays a list of available document workflows, enabling users to initiate a scan with a single click or open the workflow detail to adjust scan settings and enter required metadata before processing. |
| **Manual parameters** | Manual metadata allows users to describe the scanned document during the capture process. # Fujifilm Cloud Application

The **Fujifilm** Terminal is the OptimiDoc Cloud cloud application designed for **Fujifilm Business Innovation** multifunction devices using the **Apeos**platform and embedded application framework. It delivers a fully cloud-enabled print and capture experience with secure authentication, pull-print, and integrated document workflows.

The terminal runs directly on supported Fujifilm MFPs without requiring any on-premise server infrastructure. It leverages serverless print and authentication capabilities, allowing users to securely release jobs on any connected device and access shared credentials across the fleet.

With seamless integration into cloud services and mobile environments, the solution supports advanced scan-to destinations, mobile printing, and one-touch workflow automation. This makes it an ideal choice for organisations seeking a scalable, low-maintenance, and cloud-native document management solution.

In the following sections, you will find information on:

* [Fujifilm - Supported Devices](https://help.optimidoc.cloud/cloud-and-embedded-device-applications-for-optimidoc-cloud/fujifilm-cloud-application/fujifilm-supported-devices.md)

* [Fujifilm - Prerequisites](https://help.optimidoc.cloud/cloud-and-embedded-device-applications-for-optimidoc-cloud/fujifilm-cloud-application/fujifilm-prerequisites.md)

* [Fujifilm - Installation and Configuration](https://help.optimidoc.cloud/cloud-and-embedded-device-applications-for-optimidoc-cloud/fujifilm-cloud-application/fujifilm-installation-and-configuration.md)

## Functionality overview

OptimiDoc Cloud provides the complete functionality through the one application. After installation, an authentication app will be added to the device, which will lock the apps on the device, so you will then be able to authenticate using a card, PIN, or user list. You will then be logged into the Print\&Scan app via SSO, where you will find all your scan workflows and print connectors.

# Kyocera - Prerequisites

To successfully install the OptimiDoc Cloud embedded application, the following prerequisites must be met:

* The **latest Kyocera firmware** must be installed on the device.

* Check whether the device has **Java SE 8.X+** and **Webkit browser**, these are minimum requirements to run our application.

* Download the **installation files** and **Kyocera installer** from [Partner Portal](https://partner.optimidoc.com/Auth) depending whether you will install **Authentication** or **SSO**application.
